Shrinkage With No Owner Keeps Repeating Every Month.

Shrinkage With No Owner Keeps Repeating Every Month.

A store counts a shortfall at month's end.

Grocery blames receiving, and receiving blames the supplier.

Front end has no record of who approved the refunds, and security has no incident tied to the date.

Finance closes the month with the gap unexplained while the same loss builds again.

We built this page to end that loop. Start at the Organisation Chart. Click any box to drill in.

Expand and collapse levels with the plus and minus controls.

Every department has one accountable owner, and every role has a reporting line to the General Manager.

Give every loss a name and a reporting line.

Open the Departments directory next.

Seventeen departments feed one store result, from Finance and Human Resources through Grocery, Fresh Produce, Butchery, Bakery, Hot Foods, Receiving, Pharmacy, Bottle Store, Security, Maintenance, Marketing and IT.

Then open the Roles directory.
The Receiving Clerk reports to the Receiving Supervisor.
The Cashier reports to the Cashier Supervisor.
The Butchery Manager and Bakery Manager report to the General Manager.

The Hot Foods Manager does the same.
Each card carries a print form for the coaching discussion.
Score front end and receiving together.

In the KPI Dictionary, score till variance, refund accuracy, receiving accuracy and stock record accuracy side by side.

Add cycle count accuracy and backdoor security incidents from the Receiving section.

When refunds rise while receiving accuracy falls, walk the bay before you lecture the tills.

Cap till overrides at a fixed authority limit and require a second signature above it.

Reconcile receiving bay counts against supplier invoices for one high-risk category each week.

Beverages or grocery promo lines are a good place to start.

Let the risk section carry the back door.

Open Risk and Controls.
Find back door theft, cash office fraud, refrigeration failure and robbery.
Each line names the likelihood, the impact, the key control and the owner.

Sealed delivery with CCTV and dual sign-off is the standing control for most bay losses. Test it and record the result.

Print the page your managers sign

Use the print form on each department card and the full print-ready PDF form at the bottom of the page.

It mirrors the on screen scorecard with blank lines and tick boxes for Good, Attention and Red. Targets, actuals, names and signatures stay blank for completion by hand.

The manager signs with the person above, so the red line always has two names on it.
